EVOLUTION Exhibit Booth Space Payment/Refund Policy

You will receive a contract at the time of reservation. The exhibit will be held as Pending for 60 days after receipt of this contract. If payment is not received within 60 days of receipt of contract, the exhibit will be marked Available and contract will be null and void. Regardless of purchase date, all exhibits and sponsorships must be paid in full 45 days prior to the start of the event. Payment may be made by check (payable to C4 West Coast, LLC) or credit card (Visa, MasterCard or American Express). Exhibitor shall have the right to cancel booth space agreement at any time by written notice to EVOLUTION. In the event of such cancellation received up to 60 calendar days prior to the summit, EVOLUTION shall refund 90% of booth space rental. EVOLUTION shall refund 50% of both space cost on cancellations received between 30-59 calendar days prior to the summit. No refund will be made on cancellations received within 29 calendar days of the summit. Under all circumstances, EVOLUTION retains the right to resell any booth space cancelled by exhibitor. EVOLUTION Advertising/Marketing Payment/Refund Policy:

Full payment of advertising or marketing fees must be provided at the time of reservation. Payment may be made by check (payable to C4 West Coast, LLC) or credit card (Visa, MasterCard or American Express). Cancellation, refund or advertising change requests will not be accepted if received by EVOLUTION after the published deadline for receipt of ad copy. As of this published date, an ad is considered to be “in production.” Cancellation, refund or advertising change requests (deletions) will be accepted if received by EVOLUTION, in writing, prior to the published deadline. A $75 processing fee will be assessed. If a package was “reserved” and has not been paid by the published deadline, EVOLUTION retains the right to cancel the package. EVOLUTION Sponsorship Payment/Refund Policy:

You will receive a contract at the time of reservation. The sponsorship will be held as Pending for 60 days after receipt of this contract. If payment is not received within 60 days of receipt of contract, the sponsorship will be marked Available and contract will be null and void. Regardless of purchase date, all exhibits and sponsorships must be paid in full 45 days prior to the start of the event. Payment may be made by check (payable to C4 West Coast, LLC) or credit card (Visa, MasterCard or American Express). If notice of cancellation is made 150 calendar days before the first day of the summit, a refund less 50% of the contracted amount will be issued. If notice of cancellation is made less than 150 calendar days before the first day of the summit NO REFUND will be issued. Any reduction in sponsorship level will be treated the same as sponsorship cancellation and will be refunded accordingly. Insurance and Liability Policy:

The exhibitor hereby assumes entire responsibility and hereby agrees to protect, defend, indemnify and save the Hotel, its owners, its operator, C4 West Coast, LLC, and each of their respective parents, subsidiaries, affiliates, employees, officers, directors and agents harmless against all claims, losses or damages to persons or property, governmental charges or fines and attorney’s fees arising out of or caused by its installation, removal, maintenance, occupancy or sue of the exhibition premises or a part thereof, excluding any such liability caused by the sole gross negligence of the Hotel and its employees and agents.

The exhibitor shall obtain and keep in force during the term of the installation and use of the exhibit premises, policies of Comprehensive General Liability Insurance and Contractual Liability Insurance, insuring and specifically referring to the Contractual liability set forth in this exhibit agreement, in an amount not less than $2,000,000 Combined Single Limit for personal injury and property damage. The Hotel, its owners, its operator and C4 West Coast, LLC shall be included in such policies as additional named insureds. In addition, the exhibitor acknowledges that neither the Hotel, its owners, its operator, nor C4 West Coast, LLC maintain insurance covering exhibitor’s property and that it is the sole responsibility of thee the exhibitor to obtain business interruption and property damage insurance insuring any losses by the exhibitor.

Force Majeure

  • If C4 is prevented from carrying out its obligations as it pertains to the Conference you registered for as a result of any cause beyond its control, or such Conference cannot be held or does not occur due to acts of God, strikes, labor disputes, government requisitions, restrictions or regulations on travel, hotel or facility availability, commodities or supplies, war or apparent act of war, terrorism, disaster, civil disorder, epidemic or pandemic, curtailment or restriction on transportation facilities, or any other comparable calamity, casualty or condition (collectively a “Force Majeure”) C4 will refund the cost of registration. However, C4 does not assume responsibility for any additional costs, charges, or expenses; to include, charges made for travel and lodging. Refunds will be processed within 60 days of notification.
  • If the Conference is postponed due to a Force Majeure occurrence before the first day of the Conference, then C4 will reschedule the affected Conference, if and as practical under the circumstances, and your registration fee will be applied to the rescheduled Conference. If you are unable to attend the rescheduled Conference, then you may transfer registration fee you paid, upon written notification to C4 management, towards another C4 Conference, which is scheduled to held within 18 months from the date of the affected Conference. C4 reserves the right, at its discretion, to approve or deny such registration fee transfer requests. If there is a difference in the registration fees between the affected Conference and the alternative Conference, the difference in the registration fees will be charged or refunded, as applicable, on the credit you used to register for the affected Conference.
